Job: Business Support Team Leader (Maternity Cover)

Pay scale: £26,138 - £29,985 per annum

You may be required to carry out other appropriate duties not outlined in the Team Leader Job Description, where required.

Main Duties and Responsibilities

Organisation Wide

  • To coordinate and oversee the Business support function. Line managing the team of business support officers.

  • To be an active member of the Wider managers forum. Working closely with other wider managers in the organisation to support delivery and cooperation.

  • To provide HR administration.  To include administration of the selection process, DBS, correspondence and keeping staff and Foster Carer checks up to date. 

  • To induct new staff members in the functions of the Business Support Officer team.

  • To provide support to SLT on specific projects which may include research, developing of tender bids or coordinating events.

  • To be the system administrator and an expert in the Charms database, taking a responsibility for upskilling staff and ensuring the platform is used effectively (training provided).

  • To be front line IT and communications systems support.  Addressing low level IT and systems challenges and co-ordinating with Wavetree when required.  Supporting the team to get the best out of the organisation’s systems.

  • To administer all governance meetings, liaising with SLT and Trustees to ensure the process is smooth and productive

  • Provide suggestions in terms of updates to IT and business equipment. To include researching and rolling new systems e.g. phone or workflow systems.

  • Understand the systems, software and databases in place and provide support and guidance as required.

  • To provide administrative support to the Social Work team, supporting with any administration relating to the delivery of foster care placements in conjunction with the Registered Manager and the Business Development Manager.

  • Take responsibility for ensuring there is telephone cover at all times.

  • Ensure that all offices are maintained to a high standard in line with organisation policy

  • Provide a professional and friendly front of house service, based on excellent customer service

  • Ensure the office receives sound business support

  • Provide a full range of activities to support and enable efficient and effective meetings

  • Ensure recording is of a high standard and adheres to the statutory regulations

  • Comply with administrative regulatory requirements

  • Support the Registered Manager to ensure all regulatory requirements are met by being responsible for the quality, accuracy and timeliness of data inputted

  • Oversee processes and ensure they are completed in line with organisational policies

It is the nature of the work of Community Foster Care, that tasks and responsibilities are unpredictable and varied.  All staff are therefore expected to work in a flexible way when the occasion arises where tasks are not specifically covered in the Job Description and have to be undertaken.
